Business Continuity Plan Tabs

Continuity planners hit this contradiction early. The plan describes what to do when the network, the file share or the building is unavailable — and if the only copy is in that network, it fails at exactly the moment it is needed. That is why mature programmes keep printed copies distributed to team leads and off-site, however digital the rest of the organisation is.

A printed copy is only useful if someone can find the right procedure in it quickly, under conditions that are already going badly. That is a tab problem rather than a document problem, and it is the part most plans skip.

Structures differ by industry and by which framework a programme follows, but the categories recur. Most plans index around policy and scope, the impact analysis, critical business functions, recovery procedures, technology and systems recovery, emergency contacts, vendor and supplier information, communications, and the record of testing and exercises.

Emergency contacts and recovery procedures earn their own tabs and usually their own colours, because they are what someone reaches for first. A plan where contacts are buried in an appendix has failed a usability test before the first exercise.

Continuity plans are living documents. Programmes review them annually at minimum, revise after every exercise, and update whenever a critical vendor, system or site changes. Each substantive revision means redistributing copies to everyone who holds one.

Continuity copies do not sit in one place by design. They go to site leads, recovery team members, executive vehicles, off-site storage and sometimes a vendor or two. During an actual event, people are working from different physical copies while talking to each other.

That only works if every copy is indexed identically. Someone saying "it's under Recovery Procedures, third tab" has to be true for the person holding a different binder in another building. A printed set removes the variation that creeps in when copies are assembled locally over several years.

Office and executive copies do well in Mylar-reinforced paper on 90# or 110# index stock — economical at the volumes a distributed plan requires, and durable enough for a binder that is opened a few times a year for exercises.

Copies that live in vehicles, plant floors, off-site storage or anywhere with temperature and humidity swings do better in poly, which is tear-resistant and wipes clean. Many programmes order both against one design, so the index is identical even where the material is not.
